Software and Service Providers We Use

We keep our records in software we operate and in services run by third parties. In each case the records remain ours, are used only for the purposes described in this policy, and are seen only by the people who need them to do their work for the firm.

  • Practice management software. We run our own practice management software on servers we control. It holds our matters, documents, communications, time and billing records, and trust accounting.
  • Accounting software. We keep the firm's books in QuickBooks Online, a service of Intuit Inc. Our bookkeeper and accountant work in it. Intuit's handling of the data held in QuickBooks is governed by Intuit's own privacy statement.
  • The connection between them. With our authorization, our practice management software connects to our QuickBooks Online account through Intuit's application programming interface and reads the firm's accounting records: the company's name and fiscal year, the chart of accounts, every transaction, and the trial balance. It keeps a copy of those records on our own server so that the firm's books can be read there. It reads nothing else from QuickBooks and writes nothing to it. The copied records are used only to keep the firm's books, bill for our services, account for trust funds, and prepare tax filings; they are seen only by firm personnel, our bookkeeper, and our accountant; and they are retained as described under Data Retention. We can end the connection at any time, from either side, which revokes the software's access.
  • Other providers. We use third-party providers for website hosting, email, document storage, and payment processing. Each receives only the information needed to perform its service for us.

How We Share Your Information

We do not sell your personal information. We may share your information in the following circumstances:

  • With your consent: When you authorize us to share your information
  • Service Providers: With the providers described above, to the extent needed for them to perform their services
  • Professional Obligations: With other professionals (e.g., expert witnesses, co-counsel, our bookkeeper and accountant) as necessary to represent you and to keep the firm's books and filings in order
  • Legal Requirements: When required by law, court order, or legal process

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Data Security

We implement appropriate technical and organizational security measures to protect your personal information, including access controls on our own systems and encryption of the credentials that connect our software to third-party services. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your personal information only as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Case-related information may be retained as required by professional rules and applicable law. Financial and trust accounting records are retained for the periods that tax law and the professional rules governing lawyer trust accounts require.
